Shopify to Xero integration built for clean daily reconciliation

Connect a Shopify store, import the source orders and decide exactly how the accounting data should reach Xero. ClearCommerce keeps the store connection separate from tax, account and payment-clearing rules so the result stays controlled.

What the current Shopify workflow does

ClearCommerce uses Shopify's approval flow rather than asking a customer to create or share private app credentials. After connection, the store belongs to the correct ClearCommerce company and its imported orders remain source records until an authorised user chooses the Xero treatment.

The current Shopify workflow supports controlled source-order import and daily-summary export to Xero. Sales, shipping, discounts, tax and payment methods are reviewed through store-level profiles and mappings before anything is posted.

Why this is different from copying every order into Xero

A high-volume retail store rarely needs thousands of customer invoices in Xero. A daily summary records the accounting totals that matter while retaining the Shopify order detail and export references in ClearCommerce for traceability.

Current scope: Shopify connection, order import, mapped daily-summary preview and Xero export are available. Automated Shopify payout-fee matching and refund credit-note automation are not presented as live features.

From Shopify order data to one Xero-ready daily summary

The store provides facts. The export profile decides the accounting treatment.

1. Import source orders

Bring in order dates, payment status, sales totals, tax, shipping, discounts and payment method references without posting them immediately.

2. Apply mappings

Choose the Xero sales, shipping, discount, refund, rounding and clearing accounts used by this store.

3. Preview the summary

Review the paid-date grouping and exact line totals before the Xero record is created.

4. Export with history

Store source references, Xero identifiers, job status and errors so retries do not create duplicate accounting records.

Daily summaries for retail Shopify sales

Eligible paid orders can be grouped by paid date into one Xero sales record. The summary can separate sales by tax treatment and mapped account, retain shipping and discounts as visible lines, and allocate payment-method totals to the clearing accounts selected by the user.

Payment clearing without hardcoded gateway assumptions

Shopify stores may accept cards, PayPal, manual methods or other gateways. ClearCommerce does not force every method through the same account. Each payment method can be mapped to the appropriate Xero clearing account or excluded where the accounting workflow requires it.

Multi-store and multi-tenant by design

Each company can connect multiple stores. Connections, profiles, source orders, mappings and exports remain company-scoped so one customer's data and Xero treatment cannot be mixed with another's.

How does ClearCommerce connect to Shopify?

The store owner enters the Shopify store domain, signs in to Shopify and approves the ClearCommerce app. ClearCommerce stores the resulting access token encrypted and scoped to the correct company and store.

What Shopify data can ClearCommerce import?

ClearCommerce imports Shopify order source data needed for accounting treatment, including order dates, payment status, totals, tax, shipping, discounts and payment method information available through the approved connection.

Can Shopify sales be posted to Xero as a daily summary?

Yes. Once the Xero connection, export profile and mappings are configured, eligible Shopify orders can be grouped into a controlled daily sales summary and previewed before export.

Does ClearCommerce currently automate Shopify payout fees?

Not yet. The current Shopify workflow focuses on secure store connection, source order import and mapped daily-summary export. Automated payout-fee and refund credit-note workflows remain clearly separated as later work.
