Paid date vs order date for WooCommerce Xero exports

WooCommerce order created date, paid date and completed date can be different. ClearCommerce is built so the export profile controls which date drives the Xero posting.

What is order date?

Order date is when the WooCommerce order was created. It may not be the same day the customer paid, especially with delayed payment methods or manual processing.

What is paid date?

Paid date is when payment was captured or the order became paid. For daily retail summaries, paid date is usually the cleaner grouping basis because it follows payment activity.

What is completed date?

Completed date often reflects fulfilment or admin workflow. It can be useful for operations, but it is not always the right accounting date.

ClearCommerce default approach

For daily paid-date summaries, ClearCommerce groups WooCommerce orders by paid date by default. Other date choices remain available where the accounting policy requires them.

Questions people ask

FAQs

Which date should a WooCommerce daily summary use?

Paid date is usually the cleanest default for retail ecommerce because it follows when payment happened.

Can order date still be used?

Yes. ClearCommerce is designed with grouping date options, including paid date, order created date and completed date.

Why does this matter for Xero?

Using the wrong date can make sales, payment clearing and reconciliation harder to check against the bank and gateway reports.
